Stock Counts

Stock counts (also called cycle counts or inventory audits) let you verify that your actual on-hand inventory matches what Shopify reports. StockrHub streamlines the counting process and automatically submits adjustments to Shopify when discrepancies are found.

  1. Navigate to Stock Counts and click New Count.
  2. Select the location where the count will be performed.
  3. Add the items you want to count.
  4. Perform the count and record quantities.
  5. Review discrepancies and submit to adjust Shopify inventory.

There are three ways to add items to a stock count:

The fastest method for in-warehouse counting:

  1. Place your cursor in the barcode input field.
  2. Scan each item as you count it.
  3. Each scan adds the item to the count (or increments its counted quantity if already listed).

Search for products by SKU, barcode, or name:

  1. Use the search field to find the product.
  2. Select the variant.
  3. Enter the counted quantity manually.

For large counts, you can upload a CSV file with pre-counted data:

  1. Click Import CSV.
  2. Upload a CSV file with columns for SKU and Counted Quantity.
  3. StockrHub matches each row to the corresponding product variant.
  4. Review the imported data before submitting.

For each item in the count, StockrHub shows:

Enter the Counted quantity for each item. The Difference is calculated automatically and highlighted when it is not zero.

StockrHub flags any item where the counted quantity does not match the expected quantity:

  • Positive discrepancy — You have more stock than Shopify shows (possible receiving error or unrecorded return).
  • Negative discrepancy — You have less stock than Shopify shows (possible theft, damage, or fulfillment error).

After recording all counted quantities:

  1. Review the summary showing total items counted and total discrepancies.
  2. Click Submit Count.
  3. StockrHub sends inventory adjustments to Shopify for every item with a discrepancy.
  4. Shopify inventory levels are updated to match your counted quantities.

Items with no discrepancy (counted equals expected) are not adjusted.

All completed stock counts are saved in the count history. Each record includes:

  • Date — When the count was performed.
  • Location — Which location was counted.
  • Items Counted — Total number of items in the count.
  • Discrepancies — Number of items with quantity differences.
  • Adjustments — The exact inventory changes that were submitted to Shopify.
