5 Inventory Management Mistakes to Check in Your Shopify Store

Inventory errors often begin at a handoff: a receipt is missed, a supplier’s delivery estimate changes, or a reorder gets placed twice. These checks give the team a repeatable way to catch them.

1. Treating an old export as current stock

An export is a snapshot. Orders, receipts, and transfers may have changed quantities since it was generated. Record when a file was exported and which locations it covers. Before applying a change, compare it with the current record and investigate differences.

Connected software also needs review. Check sync status and errors instead of assuming every quantity is current.

2. Using one lead time for every supplier

A local pickup and an international shipment need different planning assumptions. Record the lead time relevant to each supplier and workflow, then compare it with actual deliveries. Include time for receiving if goods are not sellable as soon as the truck arrives.

3. Reordering slow-moving items by habit

Review products that have stock on hand but little recent demand. Check whether they are seasonal, newly listed, unavailable for sale, or actually slow movers before changing purchasing. Decide whether to pause reordering, change the stocking policy, or review the product with the merchandising team.

4. Treating a forecast as an instruction

A forecast depends on the history and settings behind it. Review promotions, stockouts, lead times, supplier minimums, and existing inbound orders before accepting a recommendation. Pay particular attention to products with sparse data.

StockrHub can help display coverage and replenishment needs. The forecasting guide explains the current workflow and the checks to make before ordering.

5. Skipping the receiving check

Count the shipment against the PO, confirm the destination, and record only what arrived. Keep missing or damaged quantities visible for follow-up. Use partial receiving when needed rather than marking the whole order complete.

On an activated store, receiving can change Shopify inventory. Review the action’s result and any error before repeating it. A supplier shipment update and a physical warehouse receipt are different events.

Give each handoff an owner

Decide who reviews replenishment, who submits orders, who checks acceptance, and who receives deliveries. Record supplier references and exceptions so the next person does not need to reconstruct the work from chat messages.
